Zervice Technologies Inc. (“Zervice,” “we,” “us,” or “our”) provides an email-first customer service workspace at zervice.app and app.zervice.app. This Privacy Policy explains what information we collect, why we collect it, how we use it, and the choices available to you.

What Data We Collect

We collect information you provide to us, information created when you use the Service, and limited information received from the services you choose to connect.

Account and workspace information:

  • Your name, email address, company or workspace name, profile details, preferences, and authentication information.
  • The names and email addresses of team members you invite to a workspace, together with their roles and workspace settings.
  • Billing contact details, plan information, and transaction records when you purchase a paid plan. Full payment-card details are handled by the payment provider shown at checkout and are not stored by Zervice.

Customer service content:

  • Emails, messages, attachments, customer contact details, internal notes, labels, and other content that you send to, receive through, or add to the Service.
  • Knowledge sources you approve for use in your workspace, along with AI-assisted drafts, edits, approvals, and replies created through the Service.
  • Connection details and status information for email accounts, forwarding addresses, websites, or other integrations you configure.

Technical and usage information:

  • IP address, browser and device information, pages viewed, timestamps, diagnostic events, and security or delivery logs.
  • Cookies and similar technologies used for authentication, security, preferences, and aggregated product analytics.

Why We Collect Data

We collect and process information to:

  • Provide the Service, including the shared inbox, message delivery, approved knowledge, AI-assisted drafting, and workspace collaboration.
  • Authenticate users, secure workspaces, prevent abuse, and investigate operational or security incidents.
  • Send account, service, support, and billing communications.
  • Monitor reliability, troubleshoot issues, and improve the Service using aggregated or de-identified information where practical.
  • Meet legal obligations and respond to valid legal requests.

We do not sell personal information. We do not use customer service content to train models for other customers.

How We Use Your Data

Account information is used to operate your workspace and provide support. Customer service content is processed to organise conversations, retrieve approved knowledge, prepare editable drafts, and send replies that a workspace user chooses to send. Technical information is used to keep the Service reliable and secure.

We access customer service content only when needed to provide the Service, assist you at your request, investigate a reported issue or security incident, or comply with a valid legal obligation. Access is limited to what is reasonably necessary for that purpose.

Who Processes Your Data

Zervice uses service providers (“subprocessors”) to deliver parts of the Service. Depending on the features you use, these may include:

  • Vercel for application hosting, edge delivery, and product analytics.
  • Supabase for managed database, authentication, and storage services.
  • Cloudflare for domain, network, email-routing, and website analytics services.
  • Configured AI model providers for generating a draft or other assistance requested through the Service. Only the content needed for the requested operation is sent.
  • The billing provider identified at checkout for subscription and payment processing.

These providers process information under their own service terms and privacy commitments. Providers may change as Zervice evolves. You can request the current list through our contact page.

Data Retention

We retain account and customer service data while your workspace is active and for as long as reasonably needed to provide the Service. You can delete individual content where the product makes that option available or request account deletion through our contact page.

After deletion or account closure, information may remain for a limited period in backups or restricted logs before it is removed through our normal deletion cycle. We may retain limited billing, security, dispute, or compliance records where required by law or reasonably necessary to protect the Service and its users.

Cookies & Analytics

We use cookies and similar technologies to operate and improve Zervice:

  • Essential cookies support authentication, session management, security, and saved preferences.
  • Analytics may include Vercel Analytics and Cloudflare Web Analytics to help us understand aggregated page views and product usage.
  • Advertising cookies are not currently used by Zervice.

You can control cookies through your browser settings. Disabling essential cookies may prevent authenticated parts of the Service from working correctly.

Billing Providers

If you purchase a paid plan, payment-card details are entered directly with the payment provider shown at checkout. Zervice receives the plan, billing status, renewal information, and transaction identifiers needed to manage your subscription and answer billing questions, but does not store full payment-card details.

AI-Assisted Features

Zervice uses approved workspace knowledge and relevant conversation context to prepare suggested classifications, summaries, and editable reply drafts. These suggestions may be incomplete or inaccurate. A workspace user remains responsible for reviewing, editing, approving, and sending any reply.

Zervice does not use customer service content to train models for other customers. A configured model provider may process the limited content needed to produce a requested result under that provider's applicable data-handling terms. Contact us before using AI-assisted features with highly sensitive information if you need details about the provider currently configured for your workspace.

Your Rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, and to receive a portable copy of information you provided. You may also have the right to complain to your local privacy regulator.

To exercise a privacy right, submit a request through our contact page. We may need to verify your identity and authority before completing the request. Some information may be retained where an applicable law permits or requires it.

Security Measures

We use administrative and technical safeguards designed to protect information handled by the Service, including:

  • Encryption in transit for connections to the Service.
  • Encryption at rest through our managed infrastructure providers.
  • Authentication and workspace access controls intended to limit access to authorised users.
  • Operational, delivery, and security records used to investigate failures and suspected misuse.
  • Restricted access to production systems and customer data based on operational need.

No online service can guarantee absolute security. You are responsible for protecting your account credentials and promptly reporting suspected unauthorised access.

International Transfers

Zervice is based in Singapore. Our service providers may process information in Singapore, the United States, the European Union, and other countries where they operate. Those countries may have different data-protection laws from your location.

Where required, we use contractual or other recognised safeguards for international transfers of personal information.

Children's Privacy

The Service is intended for business use and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information to Zervice, please contact us so we can review and delete it where appropriate.

Changes to This Policy

We may update this Privacy Policy as the Service or applicable law changes. If a change materially affects how we handle personal information, we will provide reasonable notice through the Service, by email, or on this page before the change takes effect where required.

The effective and last-updated dates at the top of this page identify the version that applies.
